At renewal, a loss run dropped into a general inbox never reaches quotes@ or claims@ on purpose. Property schedules and casualty notices are different documents that feel identical when both arrive as PDFs. The page has to say which address wants the loss run and which address wants a new loss. Loss runs should hit renewal on purpose

Tell renewing accounts to send the loss run to quotes@, not to a personal address and not only to a catch-all. Say it in the renewal block, with the lead time the firm actually wants, if the firm has a lead time it will keep. A loss run that arrives in claims@ looks like a fresh accident and gets the wrong kind of urgency. The label on the mailbox is the design, not a slogan under it.

Ask for the years the firm needs and the lines those years include, using the firm's own instruction. Do not demand a spreadsheet layout the desk will never open. A PDF from the prior market is the usual object, and the page can say so when that is true. Do not promise a kinder price because the loss run looks quiet.

Property schedules are not casualty notices

A statement of values, a building list, and a note about a new location are property. A summons, an injury report, or a demand letter is casualty, and it belongs at claims@ the day it arrives. The page should use the words property and casualty so a controller and a plant manager can pick without a glossary. One upload button labeled simply documents is how both files go missing in the same folder.

pc@ can point people who are honestly unsure which file they hold. The note there should ask whether the attachment is a schedule, a loss run, or a new claim, and then repeat the better address in the reply the firm will actually send. Do not hide that question under a paragraph of atmosphere. A link to the commercial certificate desk belongs only when the visitor is really a holder chasing a PDF.

New losses stay out of the renewal pile
